<Summary of Duties> This clerical position provides support and services to the Education Team and to the broader Public Affairs Program, including filing (both physical and electronic records), receiving calls and emails, preparing reports, letters and presentations and maintaining contact lists and databases. The person in this position also drafts responses to incoming correspondence and may also assist in the drafting/posting of social media posts. He/she will also order office supplies, verify incoming and outgoing application files and be a point of contact for visitors, callers and suppliers/vendors. This position may also perform translation of correspondence or provide basic interpretation services. *** Please note that the successful candidate must obtain a Reliability Status (security clearance) before the start of employment. Obtaining a security clearance may take at least 12 weeks or more as this is a process done in Canada. <Area of Selection> This selection process is open to all applicants eligible to work legally in Japan who meet all of the essential qualifications, including Embassy employees and spouses/dependants of Canada-based staff; and whose applications are received by the closing date. <ESSENTIAL QUALIFICATIONS> Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience. Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications. *Language will be assessed further during the process. Education: Candidates will be required to provide proof of the completion of their education. - Successful completion of post-secondary education (Jr. College, College, University). Language: - Fluency in English and Japanese, both written and spoken. Experience: - At least 1 year recent experience* in providing clerical support services in a team environment. * Recent is defined as within the last three (3) years. <RATED REQUIREMENTS> The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment. Knowledge: - Knowledge of Office Administration (handling/tracking correspondence, making/responding to phone calls, making enquiries, ordering supplies, etc.) - Knowledge of effective use of standard office software (i.e. MS Office) Competencies: - Flexibility and adaptability - Client service oriented - Teamwork and Cooperation - Judgement - Initiative - Interpersonal skills Abilities: - Ability to communicate effectively (oral and written) in English and Japanese - Ability to prioritize workload and meet deadlines Asset Qualifications: Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications. - Writing and oral skills in French - Knowledge of Canada - Experience working in an international organization office environment such as an Embassy, multilateral organization or multinational corporation. - Experience in working professionally with SNS systems (Facebook, Twitter, Instagram) Conditions of Employment: Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position. - Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period. - Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period. - Other conditions of employment: The successful candidate must: Health assessment may be requested at the discretion of the Head of Mission Special Request from Mission / Additional Comments: Employee is eligible for commuting assistance (up to JPY 18,300 per month). *** Please note that the successful candidate must obtain a Reliability Status (security clearance) before the start of employment.
